Automate after someone will do the step by hand
Wiring reminders and hand-offs into a process nobody follows only creates more messages. Write the step down first. Then automate it.
The short answer
If the team will not record a next action on a sheet, they will not benefit from a bot that pings the same action. Automation is for a step that already happens, slowly or late — not for a step that exists only in a meeting.
The problem we see
Someone asks for WhatsApp messages, reminders, and “AI follow-up” because enquiries go cold. The enquiries go cold because nobody owns them. Automating an unowned step sends more messages into the same fog.
Business process automation here means: a recorded step, then a rule (a reminder, a hand-off, a status change). Brandsmug Marketing needed leads to be visible and processable as a team before anything clever sat on top. Your sales motion will differ. Ownership still comes first.
What is worth automating
- a status that already has a meaning (“quoted”, “waiting on customer”, “ready to dispatch”)
- a reminder the owner already chases by hand
- a hand-off that already happens, badly, by phone
What is not worth automating yet: a pipeline with no owner, a job list that lives in one person’s head, a report nobody opens.

What to do next
Name one step that is late every week. Write who should do it, and how you know it was done. If you cannot name the person, do not ask for a bot. If you can, send that step. That is enough to talk.
